Review licenses and capability enablement

Read an org's user, permission set and package licenses live from Salesforce. See which capabilities are actually enabled, and get alerts for expiring or exhausted licenses.

Updated in Org inventory & architecture

Overview

Licenses & Enablement shows what an org has bought, how much of it is in use, what expires when, and which capabilities are actually enabled. It's useful before a renewal call, during a license true-up, or when someone asks, "Do we even have Data Cloud?"

Open it from the sidebar under Architecture → Licenses & Enablement.

Licenses change daily, so this page reads them live from Salesforce. Results are kept for about two minutes, and then the next view reads them again.

Before you start

  • The org needs a working connection. Unlike most pages in this section, this one calls Salesforce directly instead of using the index.
  • The connected Salesforce user must be able to read license and entitlement records. Anything it can't read is listed under Not readable in this org:.
  • Any signed-in workspace member can view the page.

Steps

  1. Pick an org from Select an org….
  2. Review Capability enablement. Each card shows whether a capability was detected and how many users are assigned. The cards are Agentforce, Revenue Cloud Advanced (RCA), Salesforce CPQ, Salesforce Billing, Data Cloud, CRM Analytics / Tableau, Field Service, Experience Cloud and Sandboxes. Click a card to see the licenses that match it.
  3. Read Needs attention. Alerts are sorted by severity:
    • High: a license that has expired with users still assigned, or one that is fully consumed.
    • Medium: a license that expires within 60 days, or one at 90% use or more.
    • Low: expired licenses with no assigned users, or licenses nobody is assigned to.
  4. Scan the tables: User licenses, Permission set licenses, Package licenses and Org entitlements & usage. Type in Filter… to narrow a table.
  5. Click Refresh to read the figures from Salesforce again.

Example

Before a renewal meeting, Priya opens acme-prod. Needs attention shows a high alert: a package license has expired with 12 users still assigned. There is also a medium alert for a permission set license at 94% use. The Data Cloud card reads "not detected". She copies the three findings into ticket ACME-142 for procurement.

FAQs

Why do the totals not add up to a single seat count?

Different license types aren't interchangeable, so MetaLens360 doesn't add unrelated rows together into one total. Read each table on its own.

Is there a history of license usage?

No. The page shows the current state only.

Who can see this page?

Any signed-in workspace member. If you get a permission message, see Permission denied errors.

Troubleshooting

"Could not read licenses from this org."

The org's stored credentials have probably expired, or the connection was revoked. Reconnect the org in Connections. See Fix expired org credentials.

A section is listed under "Not readable in this org:"

The connected Salesforce user doesn't have access to that object, or the org edition doesn't have it. Ask your Salesforce admin to grant read access, or accept the gap.

The numbers look out of date
