Record counts in the Data Matrix
The Data Matrix shows approximate record counts for every object across your orgs. You can sort and group the objects and see each org's remaining daily API calls.
Overview
The Data Matrix shows approximate record counts per object across every org. Use it to find large-data-volume objects, to check that a sandbox refresh brought data across, or to see which custom objects are actually being used.
Open it from the sidebar under Org Inventory → Org. Data Matrix.
Counts come from Salesforce's record count API, which is fast but approximate. Treat them as a sense of scale, not exact totals.
Before you start
- The org needs a working Salesforce connection. Counts are captured automatically after each sync, and you can also pull them on demand.
- Any signed-in workspace member can view the page.
- Each refresh uses a small number of API calls per org.
Steps
- Open Org. Data Matrix. The header shows Total records, Orgs, Objects and Avg / org.
- If you see No record counts yet., click Refresh record counts. Otherwise, click Refresh counts at any time to pull fresh figures for every org.
- Type in Search object… to find an object by API name or label. For example,
opportunityfinds both Opportunity and Opportunity Line Item. - Under Sort by, choose Records (largest first) or A–Z.
- Click Group by kind to arrange objects into groups: Standard Objects, Custom Objects, Managed Package Objects, Custom Metadata Types, Platform Events, Big Objects, External Objects, Sharing Objects and History & Feed Objects.
- Click a group header to collapse it, or use Expand all and Collapse all.
- Use the org filter (it reads All orgs by default) to choose which org columns to show.
- Check each org's column header for API x/y, the daily API calls remaining out of the daily allowance. The value is green when plenty remain, amber when they're low, and red when they're nearly gone.
Example
After a full sandbox refresh, Priya opens the Data Matrix and filters to acme-prod and acme-uat. She clicks Refresh counts. Invoice__c shows about 2.1M records in production but only 40K in UAT. That tells her the refresh template left the object out, so she raises ticket ACME-142 before testing starts.
FAQs
Why don't counts match a report in Salesforce?
The record count API returns approximate figures that Salesforce updates periodically. They are good for scale and comparison, not for reconciliation.
Do I need to refresh after every sync?
No. Counts are captured automatically after each sync. Use Refresh counts when you want figures that are newer than the last sync.
Does refreshing use up my API limit?
It uses a few calls per org. The API x/y figure in each column shows how much of the daily allowance is left.
Troubleshooting
"no usable Salesforce token — reconnect this org in Connections"
MetaLens360 couldn't authenticate to that org, so it skipped the org. Reconnect the org in Connections. The SFDX Auth URL option stores a durable refresh token. Treat an auth URL like a password. See Fix expired org credentials.
"Refreshed 1 org, but captured 0 record counts."
Salesforce described the objects but returned no counts. This can happen when the connected user lacks object access, or when Salesforce is busy. Try again later, or check the connected user's permissions.
The API figure is red
The org is close to its daily API limit. Wait for the 24-hour window to reset before you refresh again. See Watch Salesforce org limits with Platform Limits Health.
