Invite your team
Workspace Admins invite teammates from Settings → Users, choose their role, and manage members and pending invitations — resend, revoke, deactivate, reactivate or remove.
Overview
Teammates join your workspace and see only your workspace's orgs and data. You add them by invitation: MetaLens360 emails each person a personal link, they set a password, and they're in. You choose each person's role up front, and you can change it at any time.
Members and invitations are managed in Settings → Users.
Before you start
- Only workspace Admins can invite people or manage members. Other roles see the member list with the message "Only workspace admins can manage members."
- Decide each person's role. If unsure, start with Viewer or Developer and raise it later. See Roles and permissions.
- Invitations expire after 7 days.
Steps
Invite a teammate
- Open Settings (the gear icon in the header) and choose Users in the left menu. You can also go straight to
/settings?tab=users. - Click Invite member.
- Enter First name and Last name (optional) and Email (required).
- Choose a role from the list. The default is Developer.
- Click Send invite. You see "Invitation emailed to address", and the person appears under Pending invites.
- If email isn't set up on your MetaLens360 environment, the dialog instead shows "Email isn't configured yet — share this link with the invitee." Click Copy link, send it to the person yourself (for example in a direct message), then click Done.
Manage pending invitations
- Click Resend to send a fresh link. The earlier link stops working and the 7-day clock restarts. If email isn't configured, you see "Email not configured — copy the link to share."
- Click Revoke, then confirm Revoke in Revoke invitation?. The link stops working.
Manage members
- Find the person in Members. Use the Active, Pending and Deactivated counts to orient yourself.
- To change a role, pick a new role in their row. You see "Role updated."
- To pause access, click ⋮ and choose Deactivate. A deactivated member can't sign in, but their account and history are kept. Choose Reactivate to restore access.
- To remove someone permanently, click ⋮, choose Remove, and confirm in Remove member?. They lose access immediately. This can't be undone.
Example
Priya, the Admin of the Acme workspace, invites Sam (Developer) and Lee (Viewer). Lee's email bounces because of a typo, so Priya clicks Revoke on Lee's invitation and invites the correct address. Three months later, a contractor's engagement ends; Priya chooses Deactivate rather than Remove, so the contractor's past actions stay attributed in the audit log.
FAQs
Can I invite someone who already has a MetaLens360 account?
Not with the same email. An account belongs to one workspace. If the person is already a member of your workspace, you see "That email is already a member of this workspace".
What happens if I invite the same email twice?
The existing pending invitation is updated with the new role and a fresh link, rather than creating a duplicate.
Are invitations and member changes recorded?
Yes. Invites, revoked invites, role changes, deactivations and removals all appear in Settings → Audit Log. See Audit log and data security.
Troubleshooting
"You can't change your own role"
Admins can't change their own role or membership, so nobody locks themselves out by accident. Ask another Admin to make the change.
"This workspace must keep at least one active admin"
You tried to demote, deactivate or remove the last active Admin. Promote someone else to Admin first.
"A valid email is required"
Check the Email field for typos or spaces.
The invitee says the link doesn't work
It may be older than 7 days, already used or replaced by a resend. Click Resend and ask them to use the newest email. See Accept a team invitation.
The Invite member button is disabled
You aren't an Admin of this workspace. Ask an Admin to send the invitation.
